Sharing Exchange mailboxes

You can share email, tasks and calendars with other Exchange mailbox users on the same domain name.

There are three main stages in sharing the resources in your Exchange mailbox:

Make your mailbox visible to other users

Step 1: Open Outlook 2003 and right-click on your Exchange mailbox.

Step 2: Click Sharing.

Step 3: The mailbox's Properties window will open on the Permissions tab. Click the Add button.

Step 4: In the Add Users window, select the users that you want to share your mailbox with, then click the Add -> button. The users you have selected will be listed next to the button.

Warning: Both Default and Anonymous must be set to permission level None. This is set by default but you should ensure that it remains set to None if you make any permissions changes to the public folder. If the Default and Anonymous users are not set to None, other Fasthosts customers could gain access to your public folders.

Step 5: Click OK to confirm.

Step 6: Highlight the user you have added, click the Folder Visible check-box, then click OK.

Share each resource on your mailbox

You can set individual sharing permissions for each resource - such as email, tasks or calendars - in your Exchange mailbox. Once you've made your mailbox visible to other users, you need to choose which of those users have access to each resource.

Step 1: View your mailbox's folder list. You may need to click Folder List in the bottom-right of your Outlook window.

Step 2: Right-click the resource you want to share, such as your mailbox's tasks. In the menu that appears, click Sharing.

Step 3: The Properties window for the resource will open on the Permissions tab. Click the Add button.

Step 4: In the Add Users window, select the users that you want to share the resource with, then click the Add -> button. The users you have selected will be listed next to the button.

Important: You should have already made the mailbox visible to these individual users. Both Default and Anonymous must remain set to permission level None. If the Default and Anonymous users are not set to None, other Fasthosts customers could gain access to your mailbox.

Step 5: Click OK to confirm.

Step 6: Click the Folder visible and Read items check-boxes, along with any other permissions that want to grant, then click OK.

Accessing the resource from the third party's Outlook 2003

Step 1: Click E-mail Accounts in the Tools menu.

Step 2: Click the View or change existing e-mail accounts radio button, then click Next.

Step 3: Select the user's Exchange mailbox and click the Change button.

Step 4: Click the More settings button.

Step 5: Click the Advanced tab on the new window that opens.

Step 6: Click the Add button, then enter the full email address of the mailbox and click OK.

Step 7: The mailbox will now appear in the Open these additional mailboxes list. Click OK and the window will close. Click Next, then click Finish and the mailbox will available in left-hand Outlook pane.
