Automatically configure Outlook 2003 for an Exchange mailbox

You can automatically configure Outlook 2003 and Outlook 2000 to access any Exchange mailbox on your account.

For Outlook 2000, or Outlook 2003 on Windows 2000, follow the article:

Outlook 2003 running on an up to date version of Windows XP or Windows 2003 can be configured by following this article.

If you haven't already, you need to install Outlook 2003. You can download it free of charge from your control panel.

Automatically configure Outlook 2003

Note: If you are running an older version of Outlook or are not running a fully up to date version of Windows XP, you should first follow the article Exchange mailbox access on Windows 2000 and Outlook 2000, then follow the guide below from step 6.

Step 1: Log into your Fasthosts control panel and click Domains.

Step 2: The domains set up on your account will be listed. Click the relevant domain name.

Step 3: Click Email settings.

Step 4: The email addresses on this domain will be listed. Click the mailbox you want to access with Outlook.

Step 5: Click Mail access details.

Step 6: In the Outlook 2003 over the internet (Also known as RPC over HTTP) section, click the Outlook Configuration File link. Save the file to your desktop.

Important: If you are not using Outlook 2003 or an up to date version of Windows XP and you plan to access your Exchange mailbox using VPN, do not download this configuration file. Follow the article How to manually configure Outlook 2003 and then rejoin this guide at step 6.

Step 7: Close Outlook 2003, if it is running, and double-click the configuration file. It will be named after your mailbox username.

Example: If your email address is george@mildred.com, the file would be name george_config.prf.

Step 8: A security warning may appear, saying that the file is from an unknown publisher. Click the OK button to continue opening the file. Another window will open, warning you that running the file will make changes to your email settings. Click the Yes button to continue.

Step 8: Outlook will attempt to connect to the Exchange server, prompting you for your mailbox password.

Outlook is now set up on your computer and will download any email, along with calendar entries, tasks and other content from your Exchange mailbox. Each time you run Outlook, you will be asked for your mailbox password.

Setting up more than one Exchange mailbox

Outlook 2003 only supports one Exchange mailbox at a time. However, Windows XP allows you to create multiple email profiles, each for a different Exchange mailbox.

If you already have an Exchange mailbox set up and follow the automatic setup guide above, Windows XP will automatically create a new email profile.

You can set Outlook to ask you which profile to use each time you run it.

Step 1: Close Outlook, if it is running, and click the Windows Start button. Open your Windows Control Panel, then click the Mail icon.

Step 2: Click the Show Profiles button.

Step 3: Select the Prompt for a profile to be used radio button, then click the OK button.

Step 4: Open Outlook and, when prompted, choose the email address you want to use.

Step 5: You will be asked for your username (your full email address) and password.

Note: The last username you used will be automatically entered. You may need to correct this if you used a different profile the last time you ran Outlook.
